Privacy notice

WillowCoach analyses batting footage you choose to send us and returns a coaching review. This notice explains what we collect, why, where it goes and the choices you have. Your footage and reports are private to your account and are never made public.

Who we are

WillowCoach operates www.willowcoach.com and the WillowCoach app. We are the data controller for the personal data described here. Contact us at hello@willowcoach.com.

What we collect

Account details. Your email address and name, and whether you signed in with Google, Apple or an email address. Google and Apple share only your name and email with us; we never see your password for those services.

Player profiles. The batter's display name, age band and batting hand. A parent or guardian creates and manages profiles for players under 18.

Footage. The videos you upload for review, the clips we cut from them, and the stills and measurements our analysis produces. Footage may show other people at the net; only upload footage you have the right to share.

Reviews and practice. Your coaching reviews, faults, scores, training focuses, drill results and progress over time.

Membership. Whether you are a member, your subscription status and Stripe customer and subscription references. Card details are entered on Stripe's pages and are never stored by us.

Technical data. Sign-in and security logs, device and browser type, and error reports, used to keep the service secure and working.

Why we use it

To deliver the review you asked for (performance of our contract with you). To run your membership and take payment (contract and legal obligation). To keep accounts secure, prevent abuse and fix faults (legitimate interests). To improve how our analysis measures technique, using footage only within your own account unless you separately agree otherwise. To send service emails about your reviews and account. We do not sell personal data and we do not use your footage for advertising.

Who processes it for us

We use trusted providers to run the service: Supabase (accounts and database), Cloudflare (footage and report storage, network security), Render (application hosting), Stripe (payments), Google and Apple (sign-in, if you choose them) and an email delivery provider for service messages. Coaching reviews are prepared by WillowCoach coaches on secured equipment. Some providers operate outside the UK; where they do, transfers are covered by the UK International Data Transfer Agreement or equivalent safeguards.

How long we keep it

Footage, reviews and profiles are kept while your account is active so your progress history works. When you close your account we delete your footage, reviews and profiles within 30 days, keeping only what the law requires us to hold, such as payment records for tax purposes. Free-review footage that is never sent for review is deleted after 30 days.

Children

Accounts are for people aged 18 or over. Players under 18 are added as a profile by a parent or guardian, who is responsible for the footage and for the player's use of the reviews. If you believe a child has created an account directly, email us and we will remove it.

Your rights

Under UK data protection law you can ask for a copy of your data, ask us to correct or delete it, object to or restrict certain uses, and ask for your data in a portable format. Email hello@willowcoach.com and we will respond within one month. You can also complain to the Information Commissioner's Office at ico.org.uk.

Cookies

We use only the cookies needed to keep you signed in and to protect forms against misuse. We do not use advertising or cross-site tracking cookies. Stripe sets its own cookies on its payment pages.

Changes

If we change this notice in a way that affects you, we will tell you in the app or by email before the change takes effect.
